Harmonium: Agency Development Coordinator

General Description
The primary responsibility of this position is to cultivate and nurture external relationships that contribute to Agency fiscal solvency through donations, grants, and fundraising. This position is responsible for developing innovative and strategic approaches to engage community groups, businesses and corporations. The Agency Development Coordinator will also be responsible for assisting with internal communication to Harmonium staff. This position is responsible for developing effective agency branding and promotion to support Harmonium’s mission and vision. The Coordinator will recruit and supervise volunteers to assist with Agency projects as needed.

Essential Functions

  • Build external relationships that lead to partnerships and philanthropic opportunities
  • Work closely with Harmonium staff and those served to promote projects, assess needs and develop contacts
  • Build/nurture community and business relationships that lead to a viable pool of volunteers and resources
  • Actively participate in community committees, events, and forums to encourage charitable giving.
  • Review program promotional materials to ensure consistency with Agency communication and branding standards
  • Assist with the development of Agency materials including the annual report

Agency Leadership:

  • Create strategies for agency branding and promotion in collaboration with management
  • Provide updates to the Agency regarding existing projects, and potential partnerships and opportunities
  • Identify and participate Agency grant writing efforts and participate in contract development of programs

Job Complexity:

  • Small volunteer projects management/non-facilities projects
  • Work side-by-side with the Executive Team to promote Harmonium’s accomplishments, mission, vision, and goals
  • Must acquire comprehensive understanding of the Agency’s budget and operation
  • Assist with fund raising events
  • Responsible for the hiring and supervision of volunteers and interns as needed
  • Develop communication and marketing materials, including use of social media
  • Coordinate volunteer appreciation and other recognition events


  • Prepare a report analyzing and summarizing each project upon completion
  • Prepare and send timely thank you notices to donors, volunteers, etc.
  • Maintain accurate donor and volunteer database (including activities, type of relationships, contacts, and history of partnership)
  • Develop and track outreach efforts
  • Maintain library of marketing information and collateral materials

Decision Making:

  • Judgments and decisions are guided by Harmonium and program policies, contracts and state/federal guidelines

Staff Supervision:

  • Supervise volunteers/interns and interact closely and continuously with agency departments/programs

Minimum Competencies

  • Minimum of a bachelor’s degree from an accredited 4-year college or university
  • Minimum of 3 years’ of development and fundraising experience in a non-profit setting
  • Excellent verbal communication skills, including public speaking, to build and sustain positive relationships
  • Excellent and persuasive writing skills
  • Experience writing grants and preparing marketing materials
  • Must demonstrate meticulous attention-to-details, project management, and attention to timelines
  • Social media experience
  • Strong strategic thinking and leadership skills
  • Energetic, enthusiastic, dependable, highly motivated, a positive attitude, honest, reliable, works well in teams and independent settings
  • The ability to communicate with, supervise and empower volunteers to be effective in their roles—experience working with volunteers preferred
  • Experience with community outreach/booth staffing and positively engaging community members in a public forum strongly preferred
  • Experience with budget management (budget development, grant management and reporting)
  • Understanding of agency mission, principals, and goals
  • Reliable automobile, valid CA Driver’s license and maintain proof of current automobile insurance
  • Ability to pass TB and Fingerprint Clearance upon hire
