Office Manager – Mixte Communications

We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front office manager or office administrator would be an advantage. A successful office manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. The ideal candidate for this job is resourceful, a good problem solver, organized and eager to assist the team.Reports to:

Provide general administrative and clerical support to management, which may include, but is not limited to:
Office Management
*Order office supplies and research new deals and supplies
*Research and recommend services to improve current company operations
*Monitor and implement solutions for office maintenance needs
*Coordinate with IT on all office equipment
*Ensure all items are invoiced and paid on time, including staff reimbursements
*Liaise with facility management vendors, including cleaning, catering and security services
*Other miscellaneous office management tasks
Human Resources
*Assist with the processing and onboarding of new employees
*Process exit paperwork for terminating employees
*Book travel arrangements
*Manage On Fleek duties (staff chore lists)
*Plan in-house or off-site activities, like parties, celebrations and conferences

Policies and Procedures
*Develop company policies and systems to increase work flow and efficiency

*Coordinate company marketing meeting and all deliverables due
*Manage company database in email CRM
*Lead thank you cards/gift for referrals and sales
*Develop and run new business development sales cycle
*Prepare and deliver office mailings

Skills and Knowledge:
● Experience as an Office manager, Front office manager or Administrative assistant
● A person with strong relationships within San Diego’s social justice communities and experience in geographic areas such as City Heights, communities south of I-8, Tijuana or other regions facing social justice challenges is strongly preferred
● Ability to compile, categorize, calculate, tabulate, audit, or verify information or data
● Proficient computer and office equipment skills, including working knowledge of Microsoft Office suite with a particular emphasis on Excel and familiarity with email scheduling tools, like Email Scheduler and Boomerang
● Ability to organize priorities and basecamp communications
● Independent worker
● Efficient work pace
● Detail orientated
● Thorough understanding of the English language, and proven ability to read, write and speak English in a professional manner
● A creative mind with an ability to suggest improvements
● Experience with Paychex or similar payroll software highly preferred
● Previous reporting and query-based reporting experience preferred
● Previous agency experience is preferred

● High school diploma or equivalent required
● On-the-job experience or education related to finance and/or accounting preferred
● Previous experience in the nonprofit realm preferred
